Customer Service Representative

PURPOSE:
We are seeking a detail-oriented and proactive individual to join our team as a Customer Service Representative in the chemical industry. This role is pivotal in providing administrative, operational, and most importantly, customer support. This position is responsible for accurate order entry, timely billing, as well as clear and effective communication to our customers. The ideal candidate will possess strong organizational skills, exemplary communication skills, attention to detail, and a passion for supporting a growing company. This is an onsite position at our beautiful headquarters in Jacksonville, Florida.
PROFESSIONAL DUTIES:
Order Entry: Promptly and accurately entering purchase orders.
Administrative Support: Assist in the day-to-day administrative tasks of the operations team.
Documentation Management: Prepare, review, and organize shipping documents, and other paperwork associated shipments, ensuring accuracy and compliance with regulatory requirements.
Inventory Control: Assist in monitoring inventory levels, conducting regular inventory counts, and reconciling discrepancies to ensure accurate stock levels and prevent stockouts.
Transportation Coordination: Assist in coordinating transportation arrangements, including scheduling pickups, arranging deliveries, and tracking shipments to ensure on-time delivery.
Order Management: Support the processing of customer orders accurately and efficiently, ensuring adherence to delivery schedules.
Customer Communication: Assist with answering customer inquiries and concerns regarding order status, shipment tracking, and delivery schedules, providing prompt and courteous responses.
Documentation Management: Maintain accurate records of customer interactions, orders, and inquiries, ensuring compliance with company policies and procedures.
Billing: Ensure accurate billing with timely creation and sending of invoice. Assisting the Finance Team when necessary with payment follow-up.
Continuous Improvement: Identify opportunities to streamline processes, improve efficiency, and enhance customer service experiences, actively participating in cross-functional teams and initiatives.

REQUIRED EXPERIENCE:
- 1-2 years of Customer Service Experience in an office environment
- Previous experience in a support role or data entry role, preferably within the chemical industry or a similar environment.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office applications (Word, OneNote, Outlook, Teams)
- Excellent communication skills, both written and verbal, with the ability to effectively interact with stakeholders at all levels.
- Detail-oriented with a commitment to accuracy and quality in all aspects of work.
- Ability to work independently with minimal supervision and collaborate effectively as part of a team.
- Flexibility to adapt to changing priorities and willingness to take on new challenges as needed.

SALERY RANGE AND BONUS TARGET
- $45k to $65k depending upon experience.
- Bonus target: 5% of salary
